Draft — pending legal review
Privacy policy
Draft version, November 2026
This policy explains how [Danphe Council legal entity] handles personal data when you visit our website or use Danphe Council. For Customer Content processed on behalf of an organisation, that organisation is the controller and we act as its processor under the Data processing agreement.
What we collect
- Account data: name, work email, password hash, organisation and role.
- Customer Content: documents, questions, answers and the audit record of each answer.
- Usage and billing data: credits used, plan, invoices and payment status (card details are held by our payment provider, not by us).
- Technical data: IP address, browser type and security logs.
Why we use it
- To provide the Service and answer your questions (contract).
- To secure the Service, prevent abuse and keep audit records (legitimate interests, legal obligations).
- To bill you (contract) and to send service messages. We send marketing email only with your consent.
No training on your data
We do not use Customer Content to train AI models, and our model providers process it under terms that do not allow training on it.
Who we share it with
Only with the sub-processors needed to run the Service, and when the law requires it. We do not sell personal data.
Retention
Answer history is kept for the period of your plan (30 days on Free, 1 year on Pro, 3 years on Pro Max) unless your organisation sets a different retention. Audit records may be kept longer where an organisation requires it. Account data is deleted within 30 days of account closure, except where we must keep it by law.
Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, and to object to or restrict processing. Email privacy@danphe.ai. You may also complain to your data-protection authority.
International transfers
[To be completed: transfer mechanisms (for example Standard Contractual Clauses) and hosting regions.]
Cookies
We use cookies that are needed to sign you in and keep the Service secure. We do not use advertising cookies.
